Upcoming elections for your new Golf Club Committee……

As the 2019 Annual General Meeting (AGM) approaches, it is time for you to think about who you would like to represent you on the Golf Club’s committee.  There are 12 members on the Committee, seven of which make up the Executive (President, Vice President, Treasurer, Secretary, Men and Women’s Captain and the Vice Captain) and five General Committee positions.  This may seem a large committee but, having this number allows us to spread the work load a little more evenly and between those who are still working and those who are retired, and may have a little more time.  Remember all of the work done by the Committee is voluntary.

In an earlier post, I gave you the key dates in the lead-up to the AGM at which new Committee members will be announced.  If you would like to nominate for a position on the Committee , you need to complete a Nomination Form and lodge it.  You can access the Nomination Form here: AGM 2019-20 Nomination Form.

If you choose to nominate please ensure you fully complete the form and ensure that you have all the necessary names, badge numbers and signatures on the form before it is lodged. Nomination forms will be accepted by the Golf Manager (in person or through the mail slot in the door) or via email to Gungahlinlakes@gmail.com by 6.00 pm on Monday 11 November 2019.

Voting will open on Wednesday 13 November with votes being cast electronically.  More detailed information will be provided to members closer to the opening date on how to cast your vote.  As noted, this will be done electronically with the system set up to have members vote on only those positions that are being contested. Voting will close on Friday 22 November with the outcome to be announced at the AGM on Tuesday 26 November at 7.00 pm in the Spike Bar

I encourage all members to consider either standing for the Committee, or nominating a fellow member (with their agreement) that they think would contribute strongly to the running of the Golf Club.

Also, please put the date and time for the AGM in your diary.  It is important that we have a strong attendance at the meeting as this is when your current committee reports to you on the year’s activities and provided an opportunity for you to ask any questions that you have.

Below you will find some key dates for your calendar in the lead-up to this year’s Annual General Meeting (AGM) scheduled for Tuesday 26 November at 7.00 pm in the Spike Bar.  Your attendance at the upcoming General Meeting (notified in my October Splash article and via my recent Website post) and the AGM would be appreciated.

Both these meetings are important.  The General meeting is to discuss any concerns members have with the proposed revision/update to the Club’s Objects and Rules (see my recent post on this subject) and the AGM is, of course, your current committee’s opportunity to report to you (club members) on the activities of the Club and the Committee during the reporting period.

In the lead up to the AGM, members will have the opportunity to vote for the members they would like to see on the Club’s committee for the 2020 golfing year.  A Committee Nomination Form will be posted on the Website which can be used by members to lodge a nomination, closer to when voting opens.  Please watch out for this notification.  At the same time we will let you know which of your current Committee is happy to continue their work on the Committee.  Members will only need to lodge a vote where there are multiple nominees for a Committee position/s.     

The key dates for your diary are:

  • General Meeting to discuss and hopefully approve the proposed revisions to the Club’s Objects and Rules  – 2 November (Spike Bar at 5.30 pm …just before the Monthly Medal presentation). 
  • AFSC final approval to be sought ASAP following the General Meeting at which we hopefully achieve Member approval for the revisions.
  • Nominations open for members wishing to be elected to the Golf Club’s Committee –  Monday 28 October.
  • Nominations close – Monday 11 November (14 days after nominations open – Rule 11.2).
  • Voting opens – Wednesday 13 November (votes will be cast electronically by members logging onto the system).
  • Voting closes  – Friday 22 November. 
  • AGM – Tuesday 26 November commencing at 7.00 pm in the Spike Bar followed by drinks and bar snacks.  New Committee members will be notified to the members at the meeting.

Revision of the Club’s Objects and Rules and a General meeting to be held on 2 November.

As you hopefully will have read in the October Splash , some of the members of the Golf Club Committee have been reviewing the club’s Objects and Rules (our foundation governance document) and the club’s guidance statements.  These are all available on the club’s website.

The aim of this project was to bring our key guiding documents up-to-date by doing the following:

  • updating the Objects and Rules document more generally but particularly in its language and format hopefully making the document easier to read;
  • formalising and enabling the pilot we conducted last year with e-voting for Committee members; and
  • updating and making current our membership categories.

The revised document is now provided via the following link: Object and Rules Revision (final after AFSC consideration) Oct 19. I suspect many of you may not ever have looked closely at the Objects and Rules for the Club which were reviewed some time ago but this review, from my perspective, appeared to change the document very little.  The current review is more fulsome.  For comparison purposes you will find the current document on the website under About Us/Club Governance/Club Rules and Guidance/Gungahlin Lakes GC Rules Rev 2016 or via this link https://www.gungahlinlakesgolf.com.au/cms/wp-content/uploads/2013/04/Gungahlin-Lakes-GC-Rules-Rev-2016.pdf which you can copy and paste into your browser.  As an aside, when we finalise the new version we will make it easier to find and reference on the website.

To be able to have the revisions formally agreed, and be able to use e-voting this year, we need to do a number of things:

  • Get in-principle approval of the AFSC Board to change the document – this is done.
  • Provide the revised document and the changes we have made to you (our members) for any input you wish to have – we are doing this now via this post.
  • Hold a General Meeting of the Golf Club to allow any issues yet to be address at the time of the meeting, to be raised and discussed and for a Special Resolution to be put at the meeting accepting the revisions proposed.
  • Following acceptance, if achieved, return the revised document to the AFSC Board seeking their formal approval of the updated document.

The timing to do what is required is tight but, it is achievable.  In this context, I have set the date for, what I expect to be a short General Meeting to agree the Special Resolution to enact the changes proposed, to take place before the Monthly Medal presentations on 2 November at 5.30pm.  Following the meeting we will then do the presentations for the Medal event at 6.00pm. 

So, what would we like you to do,as Members?

  • Review the documents and send any comments that you have to the club’s email address – gungahlinlakes@gmail.com . We will get back to you, as appropriate.
  • Plan to attend the General Meeting on 2 November, at which we can discuss any concerns yet to be addressed via email, and then vote to agree the Special Resolution agreeing the changes to the document. We need at least 25 Voting Members in attendance for there to be a quorum at the meeting.

Come along and join the discussion, there will be bar snacks, some additional vouchers to be won and the presentations made to the Medal winners on the day.

Golf Course Emergency Action Plan

Emergency incidents do happen on golf courses. One day you may need to call 000 for assistance and will need to direct emergency services to the nearest gate access on the course.

Your ACTION PLAN if Emergency Services are required is

1st call – 000  (or on mobile 112 if 000 fails). Give details of incident and exact location on the course. Emergency Plus Australia App is a useful addition to your mobile phone,

2nd call – Proshop or Club Reception to ensure gate key is readily available.

Stay with casualty and provide assistance until emergency services arrive.

Keys to access gates are held by the Proshop, Greenkeeper, Club Reception and some Emergency Services.

The gates are brightly marked with letters AH for easy identification. Next time you play please take note of their location.

GLGC Club Championship Tournament Rules

GLGC Club Championship Tournament Rules

1. The Gungahlin Lakes Club Championship is open to financial Lifestyle 5, 6, and 7 Day and Junior / Student / Intermediate Members (MALE and FEMALE) with a current Golf Australia handicap.

2. The maximum daily handicap for this event is 36 for MEN and 45 for WOMEN.  Men’s handicap divisions will be determined by the Match Committee after receipt of all entry forms.  Women will have one championship division but may have two divisions, depending on numbers, for each of the day competitions.  Junior Champion eligibility is limited to players under the age of 18 years at the date of the first round.

3. The use of motorised ride-in carts or other ride-on vehicles is allowed. 

4 Entries will be accepted until 3.00pm Friday the 11th of October 2019 (subject to available tee times)

5. Play shall be in accordance with the Rules of Golf, as recognised by Golf Australia, and the Local Rules of the Gungahlin Lakes Golf Club. Play will commence from the 1st in all four rounds.

6 The GLGC Match Committee shall have the power to vary any tournament conditions and to determine any dispute or question arising as to the disqualification of any entrant and may, at it’s absolute discretion at any time and without assigning reason therefore, refuse entry or declare any entrant ineligible to compete.

7. Players must report to the starter ready to tee off at least twenty (20) minutes prior to their designated Tee Time.

8. In the event of a NETT tie in any Grade or Division, the winner shall be decided by the standard GA countback system.

9. In the event of a GROSS tie in any Grade or Division, the winner shall be decided by a sudden death stroke playoff as determined by the Match Committee.

 

10. Players and their caddies MUST comply with the dress requirements of the Gungahlin Lakes Golf Club.  Non-compliance could see the player not allowed to start or asked to leave the course.

11. On completion of each round, all players are to complete their card administration and lodge the card with the Match Committee (via the score card box) within 15 minutes. Failure to lodge the completed card within this time frame may result in disqualification.

12. Handicaps for all 72 Hole NETT events shall be the daily handicap applying in the first round.  For all Daily Competition single round results, handicaps will be adjusted via GolfLink daily.  Players will be required to complete the card for each round using the handicap displayed on their card.  The responsibility for calculating NETT scores for the 72 Hole Championship (including Leaderboard updates) will lie with the Match Committee.

13. The top four players in each of the Men’s Grades and the Women’s Grade after the third round, based on gross scores, will be placed in seeded groups for the final day’s play.  Players must check the website to see if their tee time has been changed for the fourth round.  Seeded players must have approval from the Club Captain, Vice-Captain or Women’s   Captain if they wish to move from their tee time.  Any seeded player who does not play in their seeded tee time will be ineligible for an overall championship ranking.  Seeded groups will be scheduled starting 11.00am and in the following order; Women’s, Men’s C Grade, Men’s B Grade, Men’s A Grade.

14. In order to be eligible to play in the annual Club Championships, a member must:

  • be a Financial Member of the Gungahlin Lakes Golf Club
  • hold an official handicap that is recorded in GolfLink
  • have completed 5 single player competitions in the preceding 4 months and the member’s score must be recorded in GolfLink
  • have paid the appropriate competition fee.

15. A ‘single player competition’ may be any stroke, stableford or par competition not necessarily played at Gungahlin Lakes. All combined competitions such as foursomes will not be considered however where a player records all of his/her scores in a four ball competition and brings this to the attention of the Committee, this may be considered as qualifying in extenuating circumstances.  Extenuating circumstances would include such things as sickness or absence from the Canberra area due to work.
